Garage parts stockKnow what is on the shelf.

Receive, issue, count and reorder parts without a monthly stocktake surprise.

Three numbers, not one

A useful stock figure separates what is physically on the shelf, what is already promised to an open job, and what is actually free to use.

Value matters too. A shelf full of slow-moving parts is money sitting still, so keep the purchase cost and a running value beside the count.

Receiving a supplier bill

Receive stock against the supplier's bill, with the supplier, the bill number and each part's quantity and cost. The count goes up once, with a record of why.

Do not type the monthly total into a stock cell. Every receipt should be a movement with a date, a source and an amount.

Issuing a part to a job

When a part is billed on a job, it leaves stock. What remains is the shelf count, and a part reserved for an open job is not free for the next car.

A garage can decide whether billing a part it has not yet received is allowed. With that rule off, the bill or branch transfer is refused until the stock arrives.

Counting and correcting

A physical count will differ from the record. Correct the count up or down with a reason, and keep the movement. Never edit an old movement to hide a gap.

The history of receipts, issues and corrections is the only way to find where a discrepancy started.

Reorder before the car waits

Set a reorder level on the parts that matter. When the free count reaches it, the part should be on a short list to order, not discovered when a bay is waiting.

Technicians can see what is in stock without seeing the purchase cost, which keeps cost information with the owner and the desk.

In Garage Master

Parts stock shows the current count, what is held for open jobs, what is free, the average cost and the value. Stock is received against a supplier bill, corrected with a reason, transferred between branches on Multi-branch, and taken down when a part is billed.

Purchase orders are not part of the app today; the record starts when the supplier's bill is received.

Let the app do the arithmetic.

Start with one garage and the work already on your floor. The tax, the series and the balances follow the records.
